Finance Committee Meeting: Monday 27th April 2009 in the Wootton Fitzpaine Village Hall

Resolution to Approve the Minutes of the Finance Committee Meeting held on 27th October 2008:
The minutes were agreed as acceptable, proposed by Cllr Mansbridge, seconded by Cllr Creed-Castle, all agreed.

Actions Following the Last Meeting:
The Clerk reported that a letter has been sent to the Highways Agency to reconsider a bus stop shelter for Ship Knapp, Morcombelake. The insurance fidelity cover has been increased to £20,000. Ring and Ride have been asked for more information before giving a donation.

Discuss WI Seat Replacement at the Ship Inn, Morcombelake:
Cllr Watt said she believed that the latest situation on this matter was that the Parish Council were not going to contribute as the WI were not going to either.

Discuss Playground Inspections:
The Clerk reported that this is in relation to the weekly inspections to be carried out by Mr Dale Wright and not the District Council inspections. It was agreed that Cllr Tubb ask Mr Wright if he is carrying out the inspections while looking into the fencing issues. Cllr Tubb was also asked to look into signing of the playground relating to children under 12 years of age using the equipment. Action: Clerk

Discuss Provisional Accounts for 2008/2009:
The Clerk gave out draft copies of the 2008/2009 accounts which are balanced and ready for the internal audit. There were no queries/questions on the accounts so far.

Discuss Char Chat Expenses:
Cllr Johnson gave out a breakdown of expensive for the Char Chat in 2009 from Elizabeth Fortescue. It was agreed that the suggestion of asking people to receive it by email in the next edition would be reasonable and Cllrs Johnson, Watt and Tubb would be happy to deliver by hand to save costs too.

Any Other Business:
Cllr Creed-Castle spoke regarding her forthcoming exhibition. She said that nowhere in the minutes does it give a financial figure that she can have to carry the exhibition out. It was unanimously agreed that £350.00 be put to the next Parish Council meeting with a view to getting a cheque signed. It was agreed that Cllr Creed-Castle will not be out of pocket and any profit will be decided at the September 2009 Parish Council meeting and perhaps give a donation to the local area. The Clerk reported that Victim Support had written asking for a donation. It was agreed that the Clerk email them asking for more local, detailed information if possible. Cllr Everidge reported that the Twinning Association had asked for a donation for the celebrations but as yet no further information on how much they would like has come in. Action: Clerk
